Verifying four storefronts under one return policy

Four storefronts, four different return policies, one legal entity. Verso replaced all of them with a single verified policy and stopped arguing about terms internally.

Verso ran four storefronts that had grown up separately: three national sites and an outlet. Each had its own return policy, written at a different time by a different person. Nobody could say, in one sentence, what Verso promised a customer.

The challenge

The four policies ranged from 14 to 45 days, two of them charged a restocking fee, and only one stated a refund deadline. Support agents kept a spreadsheet to know which rule applied to which order — and the spreadsheet was wrong often enough that refunds were being granted under terms Verso had never actually offered.

  • Four policies, none of them versioned, all of them editable without a trace.
  • No way to prove, after the fact, which policy was published at the moment of purchase.
  • Refunds granted under terms Verso had never actually offered.

"We weren't being dishonest. We just genuinely could not answer the question 'what do we promise?' without opening four browser tabs."

Léa Bonnet, Head of Operations

The solution

Verso stopped maintaining four policies and wrote one. The set-up was the same three steps as for any store: create the WeRefund account, connect the PrestaShop storefronts and Stripe, then get verified. One paragraph was added to the terms.

One policy, four stores

One policy replaced all four texts, on the 30-day formula counted from delivery. Each storefront is verified on its own, re-checked whenever its policy page changes, and keeps its own record, but the promise behind them became identical.

The outlet was the hard case. It had been running 14 days, and a longer window changes the margin math. Verso moved it last, after the other three.

Proof assembled as it happens

Every order is now kept on file with the policy published at the time of purchase and its return deadline, counted from delivery, in a WeRefund Policy Record — free for the shopper. Which rule applies to which order is no longer answered from memory.

The results

The goal Verso set was not conversion — it was the end of the spreadsheet.

  • All four storefronts verified under the same 30-day policy.
  • Every order kept on file with the policy version it was sold under.
  • One Stripe connection and one PrestaShop connection; Stripe stayed the payment provider.
  • The spreadsheet of which rule applied to which order was retired.

What changed afterwards

Adding a fifth storefront no longer needs a decision: the policy already exists and the verification runs against it.

The unexpected effect was internal: with one promise instead of four, the arguments about exceptions stopped. An agent no longer negotiates terms, because the terms are published, versioned and identical everywhere.
